Safeguarding & Child Protection Policy

Purpose: To ensure the safety and welfare of all children in our care.

Key points:

• All tutors are DBS-checked and committed to safeguarding.

• We maintain a safe learning environment in both in-person and online sessions.

• Children are supervised only during scheduled session times. Parents are responsible outside these times.

• Any signs of concern (e.g., neglect, abuse) will be reported immediately following statutory guidance.

• Parents/guardians must inform us of any medical conditions or safeguarding concerns.

Online safety:

• Children must be supervised by an adult during Zoom sessions.

• Recording sessions without permission is prohibited.

Responsible adult:

• We must know who will collect your child. If someone different collects them, parents must inform us beforehand.

Health & Safety Policy

Purpose: To ensure a safe learning environment.

Key points:

• Sessions follow all venue safety rules (e.g., libraries).

• Children must not arrive early or remain unsupervised outside sessions.

• Emergency procedures (fire, first aid) are in place.

• Children with illnesses should not attend; parents should notify us if their child is unwell.

• Any accidents or incidents will be documented and reported to parents immediately.

GDPR / Data Protection Policy

Purpose: To explain how we collect, store, and use personal data in compliance with the UK GDPR.

What data we collect:

• Child’s name, age, school, and class.

• Parent/guardian contact information (email, phone number).

• Session attendance records, progress notes, and payment information.

• Photographs and videos of children for promotional purposes (subject to parental/legal guardian consent).

How we use data:

• To manage bookings, payments, and communications.

• To track student progress and provide tailored tuition.

• To meet legal or safeguarding obligations if required.

• To use photographs and videos of children for marketing purposes, including promotional materials, social media, newsletters, and our website, where consent has been provided.

How we store data:

• Data is stored securely on password-protected devices or secure cloud systems.

• Paper records are kept in locked storage.

• Photographs and videos are stored securely and retained only as long as necessary for promotional purposes.

Retention:

• Personal data is kept only as long as necessary for educational and administrative purposes.

• Photographs and videos are retained only for as long as required for marketing or promotional purposes.

Rights of parents/guardians:

• Access, correct, or request deletion of your child’s data.

• Withdraw consent for non-essential communications at any time.

• Withdraw consent for the use of photographs and videos at any time by contacting us via email.

• Withdrawal of consent will not affect the lawfulness of processing conducted prior to withdrawal.

Sharing data:

• We do not share personal data with third parties unless required by law or for safeguarding purposes.

• Photographs and videos will not be shared with third parties without explicit consent, except where required by law.

Equality, Diversity & Inclusion Policy

Purpose: To promote an inclusive environment for all children.

Key points:

• We welcome children of all abilities, backgrounds, and cultures.

• Sessions are designed to meet different learning needs, including SEND and EAL support.

• Discrimination, bullying, or exclusion will not be tolerated.

• We regularly review materials and teaching approaches to ensure they are inclusive.

Behaviour Policy

Purpose: To maintain a safe and respectful learning environment.

Expectations:

• Children must behave respectfully to tutors, peers, and the learning environment.

• Parents must ensure children arrive ready to participate.

• Disruptive or unsafe behaviour may result in removal from a session. Repeated issues may lead to termination of tuition.

• Tutors reserve the right to refuse entry or cancel sessions if behaviour is inappropriate.

Complaints Policy

Purpose: To provide a clear process for raising concerns.

How to raise a complaint:

1. Contact us directly via email or phone, explaining the concern.

2. We will acknowledge the complaint within 2 working days.

3. A response or proposed solution will be provided within 5 working days.

Escalation:

If the issue remains unresolved, parents can request a meeting to discuss the matter further. All complaints are handled fairly, confidentially, and promptly
